Keystone is a software solution that solves the problems the service industry has with equipment hire. Everything from the booking of equipment for future leases, to the replenishment and control of inventory is now in handled in the web-based program. In addition, all maintenance and logistics activities are carefully logged in the system, which also provides a complete overview of leases and equipment.

Saves a lot of time

“The problem for many companies has been that the rental of equipment is an arduous process that requires a lot of management”, says Leif Måsvær, Sales Director at Keystone.no.

What equipment is available on a given date?

What equipment should we buy more of, in order to meet future deliveries?

How do we share documentation with our clients?

When does the equipment need to be certified again?

“These are questions our customers are often faced with”, continues Måsvær. He believes many companies are wasting lots of time on unnecessary administration. “Just think of how difficult it is to obtain precise information to base decisions on when this information always needs to located and gathered first”, he continues.

Maintenance, inventory and rental

The Keystone program is designed to allow multiple people to work around the same information simultaneously. The system allows those working in the warehouse to keep control of both consumables and serial number based quipment. The maintenance department can carry out and document their work in the system. Sales people can set up lease agreements and reserve equipment for future jobs.

Easy to use

Software should be easy to use. No one likes having to spend hours to familiarize themselves with how a program should be used. Users are becoming more discerning in terms of implementing new computer systems. Therefore, the software has to be adapted to suit individual customer needs. Software is about people. Not the people who made it, but the people who are going to use it.

Keystone is the perfect way to work with Agents. You have full control over your equipment logistics and can easily monitor your agents’ abillity to move your equipment.

Utilization reports with data from all of your agents, anywhere in the world, ensures a cost-effective manufacturing of new equipment. In other words, avoid producing more equipment than there is demand for in the market. And if an agent has a low utilization of the equipment, simply move some of his inventory to an agent who has a need for more equipment.

World wide logistics
Equipment can easily be moved from the production location to the Agents and be taken in for maintenance regardless of geographic location. World wide logistics, not a problem anymore. It is all controlled in Keystone.

You get a world wide logistics system and a rental system in one software package.

Have you ever tried to keep control of your warehouse and equipment logistics in a spreadsheet? Not easy. In fact, it is almost impossible. The reason is easy, spreadsheets are not designed to do this job, and will never work as a logistics, warehouse and rental solution. In spite of this, spreadsheets, e-mail and other manual writing programs are currently widely used for this purpose by supplier companies. This has led to major problems, as companies grow, and more people need to be able to access the spreadsheets that shows where equipment is, when it comes back, which parts need to be maintained, and how much money you earn on your equipment.

Difficult to work with
After talking to people in the industry, we realized that this is a collective problem. The stories where countless when it came to lost or forgotten equipment that caused the companies to loose money and put safety at risk. The industry reported of wast time and resources used to decipher and retrieve information from these spreadsheets, and the more the company grew, the more complicated it became when more people had to access the information.

Vulnerability, errors and risk
At one company we found 221 errors in a spreadsheet they used to keep track of their equipment. The spreadsheet had been in use for a good amount of time and the validity of the data had gradually decayed. In addition, there were many spelling errors and incorrect references that resulted in the spreadsheet to be a considerable risk on the economic side as well as on the operational side.

There are many good reasons to say “Goodbye to your spreadsheets”.

Keystone is designed to tie together the needs for control of equipment from both the land side and the rig. People on the rig can easily see what equipment they have on the rig and the documentation that accompanies the equipment. In addition, the rig can easily send requests for more equipment thru the system.

Keystone also provides the opportunity for offshore storage and shelf placement. A very useful feature when there is little storage space on the rig. It is easy to find out what equipment is currently on the rig and whether you are done using it. To return the equipment you no longer need saves a lot of space in the offshore warehouse.

From the land side the operations are running smoothly and with full control. The people working form land receive the requests for equipment and provides the necessary items to meet the request. Keystones alert system notifies the user if an item needs maintenance or an update of the Certificate. In addition, monitoring of all third party equipment so that it can be sent back to the provider and thereby avoid expensive day rates on equipment that you are not using, cuts costs dramatically.
